1. Who we are
Taxlify (“we”, “us”, “our”) is building a platform to help property landlords and sole traders stay compliant with HMRC’s Making Tax Digital (MTD) requirements.
This Privacy Policy explains how we collect, use, store, and protect personal data when you visit our website, register your interest in Taxlify, use our chat assistant, or use our services once they become available. It should be read alongside our Terms & Conditions.
2. What this policy covers
When we refer to “personal data”, we mean information that relates to you and from which you can be identified. This may include your name, email address, telephone number, IP address, and communications you send to us.
This policy applies to personal data we collect through our website, email correspondence, chat assistant, and any Taxlify services we provide to you.
Once Taxlify is fully launched, you may also enter financial and tax information into the platform (for example, income, expenses, and property records). We treat that information with the same care as your personal data and describe how we handle it in this policy and in our Terms & Conditions.
3. What this policy does not cover
This policy does not apply to information you submit directly to HMRC through HMRC’s own systems, or to third-party websites and services that we do not control. Those providers have their own privacy policies.
If you provide personal data about another person (for example, a joint landlord or employee), you must have permission to share that information with us.
4. Personal data we collect
We collect personal data in the following ways:
Information you provide to us
- Contact details when you register interest (for example, by email) or contact us with questions
- Messages and other content you share through our chat assistant or support channels
- Account and profile information when you sign up for Taxlify after launch
- Financial and tax records you choose to enter into Taxlify to support MTD record-keeping and submissions
Information collected automatically
- Technical data such as your IP address, browser type, device type, and pages visited
- Usage data about how you interact with our website and services
- Cookie and similar technology data, as described in section 7
Information from third parties
- Service providers that help us operate our website, chat assistant, hosting, analytics, and customer support
- Where you connect a bank account or other integration after launch, data provided by that third party with your consent
5. How we use your personal data
We use personal data to:
- Operate, maintain, and improve our website and services
- Respond to enquiries, provide support, and communicate with you about Taxlify
- Register and manage your interest in early access or product updates
- Help you keep records and, where applicable, prepare information for MTD submissions to HMRC
- Keep our services secure and prevent fraud or misuse
- Comply with legal and regulatory obligations
- Send you service-related messages. We will only send marketing communications where permitted by law and, where required, with your consent
We do not sell your personal data. We do not use your personal data for purposes that are incompatible with those described in this policy.
6. Legal bases for processing (UK users)
If you are in the United Kingdom or European Economic Area, we process your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Depending on the circumstances, we rely on one or more of the following legal bases:
- Contract — where processing is necessary to provide our services or take steps at your request before entering into a contract
- Legitimate interests — for example, to improve our services, keep them secure, and respond to enquiries, where those interests are not overridden by your rights
- Consent — where you have given clear consent, such as for certain marketing communications or optional cookies
- Legal obligation — where we must process data to comply with applicable law
7. Cookies and similar technologies
We may use cookies and similar technologies on our website to help it function, remember preferences, understand usage, and improve your experience.
You can control cookies through your browser settings. Blocking some cookies may affect how parts of our website work.
Our chat assistant is provided through a third-party hosting service. That service may set its own cookies or collect technical data when you use the chat widget. Please review their privacy practices for more information.
8. How we share your personal data
We may share personal data with:
- Trusted service providers who help us deliver our website and services (for example, hosting, email, analytics, and chat infrastructure)
- HMRC or other regulators where required to support MTD submissions you authorise, or where we are required to do so by law
- Professional advisers, insurers, or auditors where reasonably necessary
- Law enforcement, courts, or regulators where required by law or to protect our rights or the rights of others
- A buyer or successor in connection with a merger, acquisition, or sale of business assets, subject to appropriate safeguards
We require service providers to handle personal data securely and only for the purposes we specify.
9. International transfers
Some of our service providers may process personal data outside the United Kingdom. Where this happens, we take steps to ensure appropriate safeguards are in place, such as standard contractual clauses or equivalent protections approved under UK data protection law.
10. Data retention
We keep personal data only for as long as we need it for the purposes described in this policy, including to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements.
Financial and tax records may need to be retained for longer periods to meet HMRC and accounting requirements. When data is no longer needed, we will delete it or anonymise it where possible.
11. Security
We take the security of your personal data seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, loss, misuse, or alteration.
No method of transmission or storage is completely secure. You are responsible for keeping your account credentials confidential and notifying us if you believe your account has been compromised.
12. Your rights
Under UK data protection law, you may have the right to request access to your personal data, correction of inaccurate data, erasure in certain circumstances, restriction of processing, objection to certain processing, and data portability where applicable.
You may also withdraw consent at any time where we rely on consent, without affecting the lawfulness of processing before withdrawal.
To exercise your rights, contact us using the details in section 14. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and update the “Last updated” date. Where appropriate, we may also notify you by email or through our services.
14. How to contact us
